ABOUT THE ROLE:
The Office Administrator serves as the first point of contact for participants, prospective participants, community partners, donors, and visitors engaging with Changing Perceptions. Reporting to the Chief Operating Officer, this role is responsible for managing front desk operations, coordinating participant intake activities, supporting executive leadership, and ensuring a welcoming, organized, and efficient office environment. The Office Administrator plays a vital role in keeping the organization running smoothly by managing communications, coordinating enrollment activities, maintaining office systems, supporting participant engagement, and providing clerical assistance to leadership and program staff. WHAT YOU’LL DO:
As the Office Administrator, you will:
Front Desk & Reception Management
- Serve as the primary point of contact for visitors, participants, prospective participants, vendors, and community partners.
- Answer and direct incoming phone calls, emails, text messages, and inquiries in a professional and timely manner.
- Greet guests and ensure a welcoming and positive experience for all individuals entering the office.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain visitor logs and support office security procedures.
Participant Intake & Enrollment Support
- Serve as the initial point of contact for individuals seeking services through Changing Perceptions.
- Respond to inquiries regarding program eligibility, services, enrollment requirements, and community resources.
- Conduct intake screenings and collect preliminary participant information.
- Assist prospective participants in completing required forms, documentation, and enrollment paperwork.
- Maintain accurate participant records and ensure all intake documentation is complete and organized.
Administrative & Clerical Support
- Provide administrative support to the Executive Director, Chief Operating Officer, and other leadership team members.
- Assist with scheduling appointments, meetings, and organizational events.
- Coordinate meeting logistics, including room reservations, technology setup, and refreshments as needed.
- Maintain electronic and physical filing systems to ensure accurate recordkeeping and document management.
Office Operations & Coordination
- Ensure the office remains organized, stocked, and operational by managing office supplies and inventory.
- Coordinate with vendors, building management, and service providers regarding office needs and maintenance requests.
- Monitor shared office calendars and assist with scheduling and logistical coordination.
- Assist in maintaining office procedures and operational systems that improve efficiency and effectiveness.

- You have 2–4 years of experience in an administrative, office management, intake coordination, customer service, or executive support role.
- You have experience working directly with clients, participants, customers, or community members.
- You possess exceptional customer service and interpersonal communication skills.
- You are comfortable engaging with individuals from diverse backgrounds and circumstances with empathy, professionalism, and respect.
- You have experience managing intake processes, scheduling, or participant-facing communications.
- You have strong organizational skills and can manage multiple priorities simultaneously.
- You are proficient in Microsoft Office Suite, Google Workspace, databases, and general office technology.
- You maintain professionalism and confidentiality when handling sensitive participant and organizational information.
- You are proactive, dependable, and able to work independently with minimal supervision.
- You are committed to supporting a mission-driven organization serving justice-impacted individuals.
WHAT YOU WILL GET:
- A competitive salary of $50,000 per annum.
